Deep Knowledge Group consortium is looking for a passionate and hard-working Administrative Manager, who will play a pivotal role in overseeing the seamless operation of administrative functions within an organization. With a keen understanding of automation and project management principles, they spearhead initiatives to streamline daily workflows and enhance efficiency. In their capacity as a leader, the Administrative Manager implements automated systems and tools to optimize routine tasks, such as projects and document management.
Furthermore, the Administrative Manager excels in project management, coordinating cross-functional teams to ensure projects are executed effectively and efficiently. They possess strong organizational skills and attention to detail, allowing them to oversee multiple projects simultaneously while adhering to timelines and budgets.
Through effective communication and collaboration, the Administrative Manager fosters a culture of productivity and accountability within the team. They prioritize continuous improvement, regularly evaluating processes and implementing enhancements to drive operational excellence.
Responsibilities:
- Manage the administrative department, assign and control current tasks.
- Oversee the project management and implement proper project tracking (including automation).
- Create and edit documents, reports, and presentations using Google Drive and Google Documents.
- Create and enforce departmental policies and procedures to ensure efficiency, consistency, and compliance with company standards and regulations.
- Collaborate with other departments and stakeholders to support organizational goals and initiatives, sharing information, resources, and best practices as needed.
- Manage and organize digital files and folders, ensuring information is easily accessible and properly organized.
- Handle incoming and outgoing communications, including emails and other forms of correspondence.
- Assist with social media management, including posting updates, monitoring engagement, and responding to inquiries on platforms such as LinkedIn, Facebook, Twitter, and more.
- Conduct research and gather information as needed for various projects or assignments.
- Assist in coordinating events, meetings, and conferences, including logistical arrangements, attendee management, and documentation.
- Maintain confidentiality and handle sensitive information with discretion.
- Support the team with ad-hoc administrative tasks and projects as assigned.
Requirements:
- Excellent organizational and time management skills, with the ability to prioritise tasks effectively.
- Strong attention to detail and accuracy in completing administrative tasks.
- Proficiency in using Google Drive, Google Documents, Gmail, and other relevant Google Workspace applications.
- Proficiency in using Azure, Microsoft 365, GCP/Google Workspaces will be a plus
- Proficiency in utilizing automated project management software would be a plus
- Familiarity with various social media platforms, including LinkedIn, Facebook, Twitter, and more.
- Ability to adapt to changes quickly and thrive in a fast-paced environment.
- Strong communication skills, both written and verbal.
- Discretion in handling confidential and sensitive information.
- Strong problem-solving and decision-making abilities.
- High level of professionalism and a positive attitude.
- Attention to detail: Ensuring accuracy in configurations and system setups.
- Time management: Handling multiple tasks and priorities effectively.
- Languages - English (B2), Ukrainian, Russian (Fluent - we have colleagues from Kazakhstan)..
