Project Coordinator (marketing) (offline)

Role description:

This leadership position covers responsibilities such as communicating with clients to gather information, setting tasks for the design team, monitoring task implementation, and reporting results.

Expected results:

- Met deadlines on all projects;
- Satisfied clients;
- Equitable task distribution among designers.

Duties and Responsibilities:

- Communication with clients;
- Creating project plans (timelines) for each task;
- Participation in department planning meetings;
- Design team coordination;
- Brief creation support;
- Tasks and deadlines control;
- Consolidating information and displaying updates in the task card;
- Setting designers' day plans;
- Task redistribution between PMs;
- Gathering information, drafting tasks, and assigning tasks to designers;
- Task time estimation;
- Notifying clients about new policies and requirements;
- Supporting clients in learning rules and instructions;
- Organizing meetings;
- Cross-departmental collaboration;
- Implementing self-development initiatives to improve quality.

Team workflow:

- Receiving requests and tasks from clients: checking compliance, communicating with the client, naming the process, distributing tasks, verifying the checklist, filling in the first brief;
- Total technical task preparation: spec creation, designer spec approval;
- Internal QA with the appointed staff member: submitting the result for inspection, submitting the result for improvement;
- Client approval: submitting the initial result, submitting the result for improvement, completing the task.

Required skills:

- English (upper-intermediate);
- Web and graphic design knowledge;
- Time-management and planning skills;
- Project management experience;
- Research skills;
- Ability to set up tasks that yield results;
- Ability to optimize the distribution of departmental tasks.

Conditions:
- aligned with the U.S. Holidays and Eastern Standard Time business hours (Boston),
- work from Kharkiv office,
- schedule from 15.30 to 24.00 (Ukrainian time) incl. 30 min break (taxi to home is provided).
