Executive Assistant Specialist (offline)

Responsibilities will often include, but not limited to managing appointments or calendars, organizing and reorganizing meetings according to the manager’s schedule, answering/returning calls, filter through mailboxes, work confidentially with sensitive information, prepare status and progress reports (occasionally including financial information), and other similar administrative and support duties.

What You’ll Do:
A full scope of remote personal assistance and support
Coordination and monitoring of Executive managers’ schedules
Management of appointments and calendars
Documentation management
Reports creation, updates, and maintenance
Assistance with personal and business trips organization (flights, hotels, etc reservations)
Handling required administrative and support activities
Working hours: Mon-Fri, 2:00-10:00 PM Ukraine time / 3:00-11:00 PM Ukraine time

This job is full-time home-based with occasional visits to Kharkiv or Kyiv office on request.

What Skills You Have:
- Advanced and above level of English (both written and spoken, including Business English)
- Ability to shift the schedule to later hours (approx. till 10:00-11:00 Ukraine time)
- Proficiency with PC (MS Office Suite) and ability to easily pick up new software
- Structural thinking and ability to prioritize tasks
- Good communication and organizational skills
- Self-motivation and proactiveness
- Ability to meet deadlines
- Structured, independent and extroverted personality
- High level of diligence and attention to detail
- High level of responsibility when working with sensitive and confidential information

Nice to Have:
- Prior experience working as a personal assistant
- Prior experience communicating with English-speaking cultures
- Multidisciplinary or creative degree
